Why Is Your BAS Payment High? Common Causes

A high BAS payment can feel out of step with what is sitting in the bank account. You may have worked hard, paid suppliers, covered wages and fuel, yet the amount due still looks larger than expected. If you are asking, why is BAS payment high, the answer usually sits in the timing and make-up of your sales, GST, wages and reporting method – not necessarily in one mistake.

For Gippsland businesses, the key is to separate what the BAS is measuring from how cash is moving through the business. A clear review before lodgement can identify whether the amount is correct, whether credits have been missed, and how to plan for the next quarter.

What a BAS payment actually includes

Your Business Activity Statement may include more than GST. The final amount can be made up of net GST, PAYG withholding from employee wages, PAYG income tax instalments and, in some cases, other tax obligations. This is why a business can make regular GST credit claims and still receive a sizeable amount payable.

Net GST is generally the GST collected from customers on taxable sales, less the GST paid on eligible business purchases. If you collect more GST than you can claim back, the difference is paid to the ATO. That GST is not business income to spend. It is money collected on behalf of the government, even though it has passed through your bank account.

PAYG withholding is different. This is tax withheld from staff wages and remitted to the ATO. It can add significantly to a BAS payment for employers, particularly where there has been overtime, new employees, back pay or a busy trading period. PAYG instalments are also separate from GST and are prepayments towards your expected income tax bill.

Why is your BAS payment high this quarter?

A high amount is often a sign that business activity has changed. Higher sales, fewer expenses, a large invoicing month or increased payroll can all be legitimate reasons. The detail matters, especially because one-off events can distort a single BAS period.

Your sales were stronger than your purchases

More taxable sales usually mean more GST collected. If a builder completes several stages of work, a transport operator has a strong freight month, or a retailer trades well over a seasonal period, GST on sales can rise quickly.

At the same time, your input tax credits may be lower than usual. Perhaps stock was purchased in the prior quarter, a major equipment purchase has not occurred, or suppliers have provided fewer GST-inclusive invoices. A profitable quarter does not automatically create a problem, but it does need cash-flow planning so GST is not accidentally spent on operating costs.

You are reporting GST before customers have paid

Businesses using the accruals method generally report GST based on invoices issued and bills received, rather than when money changes hands. This can create pressure where customers pay on 30-day, 60-day or longer terms.

For example, a manufacturing business may invoice a substantial order in June but not receive payment until August. GST can be payable in the earlier BAS period even though the cash has not yet arrived. Businesses that meet the eligibility requirements may be able to use the cash accounting method for GST, which usually aligns GST reporting more closely with payments received and made. It is not the right choice for every business, but it is worth discussing if invoice timing regularly affects cash flow.

PAYG withholding has increased with payroll

If you employ staff, check whether wages have risen during the period. New team members, increased hours, allowances, bonuses, leave payouts and corrections to payroll records can all increase PAYG withholding.

For medical practices, cleaning businesses, retailers and trades businesses, staffing often changes with workload. The BAS can therefore rise even where GST is relatively stable. Accurate payroll processing, Single Touch Payroll reporting and a regular reconciliation between payroll records and BAS figures help ensure the amount is both correct and expected.

A PAYG income tax instalment has been added or adjusted

Many businesses pay income tax progressively through PAYG instalments. The ATO may calculate an instalment amount using previous tax returns, or you may calculate it using the applicable instalment rate and your income for the period.

A high instalment can be difficult to understand when current profits are lower than last year. In some circumstances, the instalment can be varied where you reasonably expect your income tax for the year to be lower. However, this should be handled carefully. Varying too low can result in a shortfall later, and general interest charges may apply if the estimate is not reasonable.

You have fewer GST credits than expected

Not every business payment includes GST, and not every GST-inclusive payment is claimable in full. Wages, superannuation, loan repayments, income tax, bank interest and many insurance components do not provide GST credits. Purchases from suppliers who are not registered for GST will not include claimable GST either.

There are also specific rules around motor vehicles, entertainment, private use and mixed-purpose expenses. A sole trader who uses a ute for both work and personal travel, for instance, may need to apportion certain costs. Claiming only what is genuinely business-related protects compliance and prevents an unpleasant adjustment later.

A large adjustment or correction is included

Your BAS may include corrections from an earlier period, a repayment arrangement amount, an amended GST calculation or an adjustment for a credit previously claimed. Bad debt adjustments, returned goods, discounts and changes to the use of an asset can also affect GST.

A high BAS should never be treated as something to lodge without checking. Compare it to prior periods and ask what changed. If the increase cannot be explained by sales, payroll, tax instalments or a known adjustment, review the underlying reports before submitting the statement.

Records that make a real difference

Good bookkeeping does more than make BAS preparation easier. It gives you a reliable view of the obligations building up during the quarter. Waiting until the BAS is due to sort through bank transactions, supplier invoices and payroll reports leaves little time to correct errors or plan payment.

Keep sales invoices, purchase tax invoices, bank transactions and payroll records up to date. Reconcile your accounting software to the bank account regularly, and confirm that GST codes are being applied correctly. For businesses in transport, construction and manufacturing, this also means taking care with fuel purchases, subcontractor payments, plant costs, stock and deposits.

A useful routine is to set aside the GST component of customer payments in a separate savings account as payments arrive. The exact percentage depends on your pricing, expenses and GST treatment, so avoid relying on a one-size-fits-all amount. A bookkeeper or tax agent can help you work out a practical reserve based on your actual figures.

Before lodging, check these five areas

A short review can prevent both overpayments and underpayments:

  • Confirm sales reported in the BAS match your invoicing and bank records for the period.
  • Check that eligible purchase invoices include the supplier’s ABN and GST details where required.
  • Reconcile payroll, PAYG withholding and superannuation records with your BAS and STP reports.
  • Review unusual transactions, including deposits, asset purchases, loans, private expenses and credits.
  • Compare the BAS with the previous period and investigate any significant difference.

This review does not mean trying to reduce the amount at all costs. It means claiming legitimate credits, reporting income accurately and understanding the liability before it becomes urgent.

If the BAS is correct but the payment is difficult

Sometimes the BAS is accurate and the challenge is simply timing. Do not ignore the due date or lodge late because payment is difficult. Lodging on time shows the ATO what is owed and puts you in a better position to address the balance promptly.

Depending on your circumstances, a payment plan may be available. It is also worth looking at the business’s invoicing practices, debtor follow-up and pricing. If GST is continually causing stress, the issue may be that customers are paying too slowly or margins are too tight to support the payment cycle.

Tax and Accounting Solutions Gippsland can help review your BAS figures, bookkeeping and payroll records in plain English, so you can see what is driving the amount and make the next reporting period more manageable. A high BAS is far easier to handle when you can see it building well before the due date.
